Why was the Encounter Counter created?

This tool was created to assist residencies in counting their patient encounters according to the ACGME Program Requirements for Graduate Medical Education in Family Medicine. This tool can free up staff and residents' time by providing a quick, easy, and mobile interface for tracking encounters on-the-fly and retrieving both a summary and detailed report at a later date.

    IV.A.6.b) Residents must have at least 600 hours (or six months) and 750
    patient encounters dedicated to the care of hospitalized adult
    patients with a broad range of ages and medical conditions.

    IV.A.6.b).(1) Residents must have at least 100 hours (or one month) or
    15 encounters dedicated to the care of ICU patients.
    IV.A.6.b).(2) Residents must provide care to hospitalized adults during
    all years of the program.

    IV.A.6.c) Residents must have emergency department experience.
    IV.A.6.c).(1) Residents must have at least 200 hours (or two months) or
    250 patient encounters dedicated to the care of acutely ill
    or injured adults in an emergency department setting.

    IV.A.6.d) Residents must have at least 100 hours (or one month) or 125
    patient encounters dedicated to the care of the older patient.

    IV.A.6.d).(1) The experience must include functional assessment,
    disease prevention and health promotion, and
    management of patients with multiple chronic diseases.

    IV.A.6.d).(2) The experience should incorporate care of older patients
    across a continuum of sites.

    IV.A.6.e) Residents must have at least 200 hours (or two months) and 250
    patient encounters dedicated to the care of ill child patients in the
    hospital and/or emergency setting.

    IV.A.6.e).(1) This experience should include a minimum of 75 inpatient
    encounters with children.

    IV.A.6.e).(2) This experience should include a minimum of 75
    emergency department patient encounters with children.

    IV.A.6.f) Residents must have at least 200 hours (or two months) or 250
    patient encounters dedicated to the care of children and
    adolescents in an ambulatory setting.

    IV.A.6.f).(1) This care must include well-child care, acute care, and
    chronic care.

    IV.A.6.g) Residents must have at least 40 newborn patient encounters,
    including well and ill newborns.

Will I be charged for the admin account?

No, you will not be charged for an admin. Only residents are billed to your accocunt.

Can an admin submit encounters?

Typically, an admin cannot submit encounters. You may grant an admin the ability to submit encounters. However, that admin will then be billed as a resident.

Can my residency have more than one admin?

Yes! The first admin should invite the second admin like residents. You may need to contact us to grant admin priveleges to the second admin.

Can a resident be an admin?

No, sorry. Any email address used as a login must be either an admin or a resident.

Can the billing period be aligned with the academic year?

Yes, of course! If you've signed up for a trial, but would like to be invoiced annually, just send an e-mail help@encountercounter.com and we will adjust your billing period. We won't split hairs over pro-rated costs.

Can I count other types of encounters?

Yes! The default categories used by our residencies are show below, but we have had inquiries about changing these labels. Just send us an e-mail to help@encountercounter.com so we can discuss your desired labels.

How do I know the encounters are authentic?

Our current residencies simply trust that their residents will be honest about the quantity of encounters that they record. Your data will show the dates that they entered the encounters and the date that was selected upon entering the encounters. The selectable date is meant to represent the date that residents encountered patients, so a resident can log days from the past accurately. Your best indicator of authenticity is to read between the lines for improbable or inaccurate activity. The app is also designed to operate with an administrator account who invites residents to the application. The admin, by default, sees all user activity, but residents cannot see each others' activity. The design is expected to reduce competition and the probability that residents would be encouraged to falsify data.

How do I download Encounter Counter? Is there an app?

There is no app ... yet. Encounter Counter is mobile-friendly, and you can access it in a web browser or from your homescreen, similar to an app. This ensures that the software works across all sorts of devices, from desktop computers using old internet browsers to modern mobile devices (in your residents' pockets). To conveniently access the login like an app, bookmark the sign-in page or save a shortcut to your mobile device's homescreen. We'd be glad to further assist if you need help with this step.
